Emergency Closings and Delayed Openings

The Department of Communications and Public Relations coordinates all emergency communication. During an emergency situation, Communications serves as the liaison between the schools and the public/media.

When we close or open late because of inclement weather, Communications is usually notified by 4:30 a.m. The first thing updated is the ACPS Information Hotline (703-866-5300). Next, an e-mail is sent to people who subscribe to our E-news/emergency information list. Then, the information is posted on our website and ACPS-TV (Channel 71). All of these things are done first so that parents and ACPS employees will have a number of different ways to get reliable information directly from ACPS sources. Then, local radio and television stations are called.

In the case of other emergencies, information will be announced as early as possible. Parents should make arrangements for the care of their children.

When schools close early or for the entire day, all after-school activities and athletic events are canceled for the day.

THE OPENING OR CLOSING OF THE FEDERAL OR ALEXANDRIA CITY GOVERNMENT DOES NOT CAUSE THE OPENING OR CLOSING OF SCHOOLS.

All supervisors should have a list of employee home phone numbers and establish telephone trees to facilitate communication during school closures.

The district cannot guarantee that facilities and/or staff will be available to distribute checks during school closures. In such cases, checks will be held in payroll and distributed to staff in the buildings when schools reopen. Employees are encouraged to establish direct deposit of paychecks.

Radio and Television Announcements

In the event ACPS offices or schools are to be closed because of inclement weather or emergencies, information will be disseminated through local media outlets.

Delayed Openings and Early Closings

Early closings will be communicated to the principals and supervisors as soon as the decision has been made by the superintendent. Do not call the superintendent or the clerk of the board's office.

ONE HOUR DELAYED OPENING

STUDENTS STAFF

All students except afternoon pre-school report to school one hour later than regular opening time.

Non-administrative licensed staff, paraprofessionals and hall monitors report as soon as possible but no later than twenty minutes before the announced opening of school.

All other staff report at regular time.

Bus drivers/monitors report one hour later than regularly.

TWO HOUR DELAYED OPENING

STUDENTS STAFF

Kindergarten through grade 12 report two hours later than regular opening time.

Morning pre-school reports two hours later than regular opening time, and dismissed one hour later than usual.

Afternoon pre-school reports one hour later than regular opening time and stays for approximately two hours.

Non-administrative licensed staff, paraprofessionals and hall monitors report as soon as possible but no later than twenty minutes before the announced opening of school.

All other staff report at regular time.

Bus drivers/bus monitors report two hours later than regular time.

ONE and TWO HOUR EARLY CLOSING

STUDENTS STAFF

All schools will be dismissed one or two hours early as announced. No make-up classes are required for early closings.

Morning pre-school will be dismissed at 11:00 a.m.

Afternoon pre-school canceled (make-up classes may be required).

Non-administrative licensed staff, paraprofessionals and hall monitors may be released at the principal's discretion after students have been dismissed and buses have departed.

All other day staff are expected to work a regular day.

Night personnel must report at regular time or take leave with supervisor's approval (unless otherwise instructed).

Bus drivers/bus monitors report one/two hours (as appropriate) earlier than regular time for afternoon runs.

EMERGENCY SCHOOL CLOSING PROCEDURES

Alexandria City Public Schools employees should following the following guidelines when schools are closed for the day due to an emergency such as inclement weather.

WHEN SCHOOLS AND ADMINISTRATIVE OFFICES ARE CLOSED

ONLY THE FOLLOWING EMERGENCY PERSONNEL REPORT:

  • Chief Administrative Officer
  • Director of Transportation
  • Director of Educational Facilities
  • Assistant Director, Facility Operations and Maintenance
  • Assistant Director, Safety, Risk Management and Health
  • Supervisor, Maintenance Services
  • building engineers
  • custodians (except temporary part-time)
  • maintenance shop employees
  • security personnel
WHEN SCHOOLS ARE CLOSED BUT ADMINISTRATIVE OFFICES ARE OPEN

ALL 12-MONTH EMPLOYEES REPORT and LIBERAL LEAVE IS IN EFFECT
