Instructions for Outside Organizations

Procedures for Flyer Distribution to Families

Our district cooperates with approved 501c3 non-profit community partners, groups, and organizations by posting flyers online and distributing them electronically through our service provider, Peachjar. (Please note that we only approve submissions from nonprofit / 501c3 organizations). As part of our efforts to be more environmentally friendly, embrace innovative technology, and maintain fiscal responsibility, we have transitioned from paper to electronic flyer delivery. 

All flyers need to be received by 4:00 pm Monday & Wednesday each week for review/approval. Although Peachjar allows you to choose your flyer's post date, ACPS ONLY REVIEWS/APPROVES on Monday & Wednesday afternoons after 4:00 pm. If you miss the Monday 4:00 pm deadline, your flyer will be reviewed the following Wednesday. If you miss the Wednesday 4:00 pm deadline, your flyer will be reviewed the following Monday. 

To request flyer approval, follow the steps below. Once approved, your flyer will be emailed to all parents. Paper flyers from outside organizations will no longer be distributed.

  1. IMPORTANT: Read the ACPS Flyer Approval Policies Board Policy and Procedures KF-R 

  2. Visit www.peachjar.com

  3. Register as an Enrichment / Community Org. (account type).

  4. Upload your flyer for approval.

  5. Questions can be emailed to Marcus Washington, Administrative Specialist at marcus.washington@acps.k12.va.us

Your flyer will be automatically submitted to the district office. District staff will review the material and approve or deny based on the standards below. Peachjar charges outside organizations a fee for this service which is typically much less than the cost to copy and deliver paper flyers to each school. Peachjar offers a Community Free Flyer Distribution. Please review the guidelines from Peachjar below to see if you may qualify.

ACPS Flyer Policies — Outside Organizations

All flyers to be distributed must:

  • Support the basic educational mission of the district, directly benefit the students, or be of intrinsic value to the students or their parents/guardians.

  • Be in PDF format.

  • Contain font sizes not less than size 12.

  • Contain the name and contact information of the sponsoring entity.

  • Be from a 501c3 non-profit organization.

  • Include the following disclaimer using exact wording not less than size 12 font, in all languages in which the flyer is published. The translated versions of the disclaimer can be found here:

Alexandria City Public Schools neither endorses nor sponsors the organization or activity represented in this material. The distribution or display of this material is provided as a community service.

Flyers will NOT be approved that:

  • Are lewd, obscene, libelous or slanderous.

  • Incite students to commit unlawful acts, violate school rules or disrupt the orderly operation of the schools.

  • Promote any particular political interest, candidate, party or ballot measure, unless the candidates or advocates from all sides are provided the opportunity to present their views to the students during school hours or during events scheduled pursuant to the Civic Center Act.

  • Proselytize or position the district on any side of a controversial issue.

  • Discriminate against, attack or denigrate any group on account of gender, race, age, color, religion, ancestry, national origin, disability or other unlawful consideration.

  • Promote the use or sale of materials or services that are illegal or inconsistent with school objectives, including, but not limited to, materials or advertisements for tobacco, intoxicants and movies or products unsuitable for children

  • Solicit funds or services for an organization, with the exception of solicitations authorized in Board policy.

Community Free Flyer Program


Peachjar's Community Free flyer program is our way of giving back to communities by covering the fees for 1 flyer per 28 days for organizations promoting a charitable free program, service or resource where children are the direct beneficiary. By Peachjar incurring this service fee, we hope to make it even easier for these organizations to get the word out and impact the lives of even more children. Our Community Free Posting Program is based on the nature of the flyer itself and not the organization’s tax-exempt status. Peachjar reserves the right to determine final eligibility. Thank you! 

What Qualifies as a Community Free Flyer?
  • Your charitable program, service or resource directly benefits children and does not require participants to qualify, has no enticement for future fee-based programs, and does not serve the purpose of fundraising, collecting donations or allow for the purchase of products or services.

  •  Your organization is not nationally recognized and physically resides within the boundaries of the school district you wish to distribute to.

  • Your organization is not receiving fees or revenue from vendors participating in the event. 

  • Submissions are limited to one flyer distribution to one school district every 28 days. If you wish to distribute to more than one school district or more frequently than every 28 days, you may choose to distribute a standard flyer, subject to Peachjar's service fees. 

Every Community Free flyer submission will go through this process:
  1. Review these qualifications and limitations to ensure your program/event is appropriate for our Community Free Program. 

  2. Register as a Community Organization on Peachjar.com and contact Peachjar Support for instructions on how to apply by emailing support@peachjar.com or calling (858) 997-2117. 

  3. Peachjar will review your application in 3-5 business days and notify you whether or not your program event qualifies. 

  4. If your application is accepted by Peachjar, your flyer will be sent to the school district for their distribution approval at no charge. If declined by Peachjar, your flyer will be saved as a draft so you can still post your flyer using the standard method. 

  5. If your flyer is approved by the school district, it’s all set for distribution. If denied by the school district, you will be notified and your flyer will not be distributed.
